Health iPASS is a software-based patient revenue cycle solution that provides you, the patient, with convenient and flexible payment options and lets you know what you owe before, at, and after your visit.

 

It doesn't stop there, though! Health iPASS is also an appointment reminder, appointment check-in, and payment system that allows you to pay for co-pays and deductibles with a quick card swipe, as well as change any demographic information on the spot! Plus, based on the care you receive, we can now provide cost estimates on what you may owe after your insurance benefits are applied and offer flexible and convenient payment plans if needed.

When will I receive my eStatement?

 

After you check-in using Health iPASS, you will receive an emailed statement (or eStatement) for any remaining balance for that visit after insurance has paid your claim.

 

Paying your eStatement balance is easy!

 

1. Card-on-File (CoF)

 

a. When you check-in at the Health iPASS kiosk, swipe your desired payment method for both the time of service charges and the balance resulting from this visit.

b. Signing the kiosk and completing the check-in authorizes our bank to keep your payment information on file. Don’t worry, your information is secure and will be used to pay the remaining balance for this visit only.

c. After the claim has been processed and paid by your insurance company, you will receive an eStatement indicating that your card will be charged for any remaining balance in seven (7) business days.

d. You’re all set! You don’t have to do anything more to complete the payment. However, if you would like to make other payment arrangements, contact our billing office at (608) 442-7797.

 

2. Online Bill Pay

 

a. If you have not chosen to keep a COF, you will still receive an eStatement with any remaining balance after your insurance has processed the claim.

 

b. To pay, click on the “Make a Payment” button in the eStatement.

 

c. The Online Bill Pay webpage will open. Review the pre-populated Patient Information and Payment sections then click “Continue”.

 

d. Simply enter your Payment Details (a debit or credit card) on the next screen and click “Pay Now” to finish paying your balance.

 

To see further details about the visit on your eStatement, just login to the Health iPASS patient portal using the credentials in your Enrollment email. You can also access and manage your account using the Health iPASS app (Android and iOS).

Keeping a Card-on-File: What You Need to Know

 

What is the card-on-file (CoF) system?

 

This payment program will securely store your credit/debit/HSA card information “on-file” with our bank. Once your insurance company processes the claim, you will receive an email notifying you of any remaining patient balance from today’s visit. Health iPASS, on behalf of Associated Physicians, will automatically deduct that balance from the card-on-file seven (7) days later.

 

Why should I keep a CoF with my provider?

 

Keeping a CoF with our bank makes paying your bill convenient and easy. All you have to do is swipe the card you want to use, and our bank will use this secure information to automatically pay the balance for this visit only. This program saves you the time and effort of managing and sending payments manually.

 

Is my information secure?

 

Of course! Neither Associated Physicians nor Health iPASS stores your actual card number, the bank stores a “token” that allows for one future payment.

 

How much will my CoF be charged?

 

You will only pay what you owe for this visit. After insurance processes the claim, the CoF will be charged your patient responsibility for this visit and will not be charged again.

 

When will my CoF be charged?

 

You will receive an eStatement indicating the amount you owe after your insurance company has paid the claim. Your card will then be charged seven (7) days after receiving the email notification. A final receipt for your payment will then be emailed to you for your records.

 

What if I want to change my payment method?

 

Once you receive the email with your visit’s remaining balance and the date that your CoF will be charged, you have two options to change your payment method. You can click the “Make a Payment” button in the eStatement to enter a different card, or you may contact our billing department at (608) 442-7797 to make alternative payment arrangements.

Health iPASS: Safe, Secure, and How It All Works

 

If you visited one of our offices in 2020, you may have noticed a new check-in and patient system we recently implemented called Health iPASS. We partnered with Health iPASS to help make the check-in process more efficient and to offer a more convenient way to pay for any co-pays, deductibles, or co-insurance balances you owe. Plus, we offer the option to keep a payment card-on-file for that visit to cover any balances you may owe after your insurance company pays the claim.

 

Here is a list of the features we now offer through the Health iPASS solution along with some clarification about the card-on-file policy in response to questions by some patients about how it all works:

 

  • Verify your personal contact information: After you sign in through the iPad kiosk, you will have an opportunity to verify your address and insurance information and make any changes directly on the screen.

  • Paying for prior balances/co-pays/deposits: If you owe a balance from a previous visit(s) and/or have a co-pay based on your insurance plan, you can pay both right on the kiosk with a credit or debit card. The amount due will clearly be displayed on the iPad kiosk. We also still accept cash or personal checks for these balances.

  • Keeping a card-on-file: Many insurance plans require our patients to cover any remaining balance once a claim is processed by the insurance company. We now offer the option of keeping your card-on-file to cover this balance (if any) 7 days after the claim is processed. Don’t worry though, the card-on-file is for that visit alone and we do not keep this card-on-file permanently, you always have the option to decline to keep it on file during your next visit. A card-on-file covers one visit only, and it is not extended to any future visit.

  • Protecting your payment information: Associated Physicians and Health iPASS take the protection of your payment information very seriously. We use a sophisticated process called “tokenization” which is the process of replacing sensitive payment data with unique identification symbols. The valuable part of this process is its ability to make any of your payment information unreachable by replacing the card number with a unique token. Think of tokenization like puzzle pieces. The credit card company has one piece; Health iPASS has another piece. Unless both pieces fit together, the information just looks like two random pieces from a giant jigsaw puzzle.

In an effort to simplify your experience when receiving care and to make the payment process transparent and convenient, we are introducing the new Health iPASS Patient Check-In and Payment System.

 

1. How will I receive my check-in information?

 

Before your visit, you will receive an appointment reminder email giving you instructions and information about your check-in options.

 

2. What is the card-on-file system?

 

This payment program will securely store your credit/debit/HSA payment information “on-file” with Health iPASS. Once your insurance company processes the claim, you will receive an email notifying you of any remaining patient balance from today’s visit. We will automatically deduct that balance from the card-on-file five to seven business days later.

 

3. Is my information protected?

 

Absolutely! Your credit card information is safe and protected. All financial information is fully encrypted maintaining compliance with all the industry standards.

 

4. How long will you store my payment information?

 

Once today’s visit has been paid in full, this arrangement expires, and your credit card information will no longer be kept on file. After your insurance has processed the claim, you’ll receive the final patient responsibility (out-of-pocket) amount and payment due date via email. If there is any outstanding balance, that amount will be charged using your chosen payment method on the due date and a receipt will be emailed to you.

 

5. How much will I be charged?

 

You will only pay what you owe for this visit after co-pay and insurance. You will not be charged again once your post-insurance balance for this visit has been collected.

 

6. How will I know when I will be charged?

 

You will receive an email notification indicating the amount owed and the date of the transaction after your insurance company has paid the claim. A final transaction receipt will then be emailed to you for your records.

 

7. What if I decide to change the payment arrangement?

 

You can make alternative arrangements such as changing the payment type or setting up a payment plan by calling our Billing Office number at (608) 442-7797.
